Role Description
The Office Manager serves as the central coordinator of clinic operations. This position oversees front office functions, supports providers and staff, and ensures patients and families receive professional, efficient, and courteous service at every point of contact.
Roles and Responsibilities
Oversee daily front office operations to ensure a professional, organized, and welcoming experience for patients, visitors, staff, and providers.
Supervise scheduling and intake processes, ensuring appointments, referrals, and encounter documentation are completed accurately and efficiently.
Maintain accurate patient records, including demographics, insurance eligibility, and benefit verification, while proactively addressing coverage issues with patients and providers.
Manage prior authorization processes by coordinating with insurance payers, securing approvals for tests and procedures, and communicating authorization delays or coverage concerns to physicians and staff.
Promote operational efficiency by prioritizing tasks, monitoring workflow, and reviewing documentation for accuracy and completeness.
Oversee financial accountability of front office operations, including daily cash and payment entries, balancing, and preparation of deposits.
Provide leadership and clear communication between patients, staff, and physicians to foster a positive, efficient, and collaborative clinic environment.
Ensure strict compliance with confidentiality policies and all applicable regulations, including HIPAA standards.
Qualifications
High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Healthcare Administration, or a related field strongly preferred.
Proven ability to lead, supervise, and coordinate staff and office operations in a professional healthcare or business environment.
Strong written and verbal communication skills with the ability to interact effectively with patients, families, providers, and staff.
Previous medical clinic or healthcare office management experience preferred; general office administration experience required.
Demonstrated customer service excellence and problem-solving skills with a patient-focused approach.
Ability to analyze and interpret insurance benefits, manage billing workflows, and perform basic mathematical and financial tasks.
Knowledge of medical terminology and front office healthcare operations.
Thorough understanding of confidentiality standards and full compliance with HIPAA regulations.
Proficiency in typing (40+ WPM) and experience using office software and EMR systems.
