About The Role

The Real Estate and Retail Development Coordinator will provide critical project and administrative support to the Real Estate team, helping ensure new store openings, lease administration, facilities management, and portfolio reporting activities are executed efficiently and on schedule. This role will serve as a central point of coordination across internal teams, landlords, vendors, and external partners while managing key documentation, reporting, and project tracking.

This is a part time contract position ideal for a highly organized professional who thrives in a fast-paced environment and enjoys balancing operational execution with project coordination.

What You'll Do

Operations & Sample Management

  • Manage and maintain physical and digital sample libraries, ensuring organization and accessibility.

  • Support day-to-day store requests and coordinate facilities-related needs across the retail fleet.

  • Partner with internal stakeholders to track, prioritize, and help resolve ongoing maintenance and repair issues.

  • Maintain project files, documentation, and operational records.

Travel & Site Coordination

  • Coordinate site visits, landlord meetings, and vendor engagements.

  • Manage travel arrangements, schedules, and detailed itineraries for the Real Estate team.

  • Support planning and logistics for market visits, store tours, and project meetings.

Strategic Planning & Reporting

  • Prepare presentations and supporting materials for Real Estate Committee meetings and leadership reviews.

  • Coordinate inputs from cross-functional partners to ensure timely and accurate reporting.

  • Maintain New Store Opening (NSO) reporting and key project trackers.

  • Manage and update the Peer Brand Sales Database and other portfolio analytics tools.

  • Track project milestones, critical dates, and deliverables to support successful execution.

Financial & Legal Administration

  • Track project expenses, budgets, invoices, and vendor payments.

  • Maintain Letters of Intent (LOIs), lease documentation, and related records.

  • Monitor critical lease, permitting, and project milestones to ensure deadlines are met.

  • Support document routing, approvals, and coordination with legal and finance partners.

What You'll Bring 

  • 3+ years of experience in project coordination, real estate administration, operations, or a related field.

  • Strong organizational and project management skills with exceptional attention to detail.

  • Proficiency in Google Workspace and Microsoft Office, including presentation development and spreadsheet management.

  • Ability to manage multiple priorities and deadlines simultaneously.

  • Strong written and verbal communication skills.

  • Experience supporting retail real estate, store development, facilities, or construction projects is preferred.
